Minutes of Pre-bid meeting - Annual Maintenance Contract: Housekeeping and Cleaning work of Office and Residential Premises of Reserve Bank of India, Patna

The pre-bid meeting for the captioned work was conducted in the chamber of AGM (Estate), on 29.01.2019 at 1200 hrs. in the presence of following participants and Reserve Bank Officials:

For Reserve Bank of India:

1. Shri Sanjeev Kumar, AGM (Estate)
2. Shri K. K. Singh, Manager (Tech)
3. Shri Manjit Kumar, A.M (Estate)

The meeting attended by the following Tenderers:

1. Shri S K Jha, M/s Masiha Services
2. Shri Pramod Singh, M/s Nidan
3. Shri V K Sood, M/s Moon light Housekeeping Service
4. Shri Jitendra Kumar, M/s Jitendra Kumar Catering Maintenance and Civil Work

Following queries were raised by the tenderers in the pre-bid meeting:

1) What is the definition of Similar Work?

Bank’s Clarification: The firm was told that Similar Work means Housekeeping related work as mentioned in para 3 of Section B of the tender document.

2) Whether the tenderer must have to submit the client certificate in respect of Minimum eligibility criteria?

Bank’s Clarification: The firm was told that the tenderer need to submit minimum two client certificate in regards to Minimum eligibility criteria as mentioned in para 4(i) of Section B of tender document.

3) Tenderer has asked about work details?

Bank’s Clarification: The tenderer was clarified that complete Scope of work is mentioned in Section D of the tender document.

4) How many manpower will be required?

Bank’s Clarification: The tenderer was told that it is left to the tenderer to calculate the number of manpower as per different sites and scope of the work.

5) Who will provide the materials related to Housekeeping work?

Bank’s Clarification: The tenderer was told that as per tender terms and conditions the materials will be provided by the tenderer/ contractor only.

6) All the firms asked whether they can see the site of the Bank’s Main office.

Bank’s Clarification: Assistant Caretaker of the Bank Main office building accompanied them to visit the site and shown them accordingly.

These minutes of pre-bid meeting shall form the part of bid document / Agreement.

Rest of the Terms and condition and specifications of bid document shall continue to remain same.

The above amendments / clarifications are issued for the information for all the intending bidders.

The submission of bid by the firm shall be construed to be in conformity to the bid document and amendments / clarifications given above.
