Minutes of Pre-Bid Meeting - Supply, Installation and placement of office furniture at Reserve Bank of India, Naya Raipur

The pre-bid meeting for the captioned work was held on September 26, 2024 at 02:00 PM at conference hall 2nd floor, RBI Raipur.

2. A brief introduction of the e-tender and related terms and conditions were presented. Thereafter, participants raised queries which were clarified by the Bank. A summary of the queries raised by the participants & clarification given, is placed below:

a) One of the firm suggested to include following pre-qualification criteria in the tender document:

i. All India Occupational therapist’s association (AIOTA) Certification for products

ii. SCS Indoor Advantage Certification by SCS global services

iii. Green Rating for Integrated Habitat Assessment (GRIHA) Certification

iv. Presence of toll-free numbers and service setup at consignee location
The firms were advised that prequalification criteria shall remain the same as indicated under Section- III (page no. 8 to 12) of ‘General Rules and Instructions to Tenderers’ of Tender document.
b) Firms requested to consider the security deposit in the form of Bank guarantee. The firms were advised that Security Deposit shall be submitted/ deducted as indicated under clause 20 and 21 (page no. 16 and 17) of ‘General Rules and Instructions to Tenderers’ of Tender document.
c) Firms requested to increase the time allowed to complete the work from 30 days to 45-60 days. The firms were advised that time allowed to complete the work shall be 30 calendar days as indicated under Schedule ‘E’ (page no. 79) of the Tender document.
d) Firms requested to provide layout of site The Firms were advised to quote according to the size and specifications indicated in the tender document. Layout will be provided after acceptance of tender.
e) Firms requested to provide checklists of documents to be submitted The firms were advised to refer to the checklist of documents available at the MSTC portal. In addition to above, firms were also advised to examine Notice Inviting e-tender, specifications, schedule of quantities, various schedules, General conditions of contract and clauses, Special conditions of contract, General rules and instructions to Tenderers and all other contents in the tender document for the submission of required documents.
f) Firms requested clarification on the unit of measurement for schedule of quantities. It was clarified that unit of measurement for the tender item at sr.no -22 ‘File Cabinet’ shall be ‘sqft’.
g) Firms suggested to include advance features for furniture items such as active bio synchronous mechanism, seat depth adjustment, 5 position tilt adjustment, adjustable back support for chairs. It was clarified that the specifications for furniture items shall be as per Tender document.
h) One of the firm referred towards the reference image of the furniture items being from specific manufacturer and informed that 1-2 items of the firm may deviate from the specification indicated in tender. It was clarified that the image indicated in the Tender is for reference only and based on the reference image and specifications samples of products are to be submitted for approval. Estate Cell further clarified that specifications of the product shall be as per Tender document.

3. Above clarifications are issued for the information for all intending bidders. Minutes of pre-bid meeting shall form the part of bid document/Agreement. All terms, conditions and specifications of the bid document shall continue to remain same.
