Minutes of Pre-bid Meeting - Supply of Drugs & Medicines and Non-Medical items to Bank Dispensaries and doorstep delivery to the Retired/Serving employees/ eligible dependents against credit slips issued by the Dispensaries of Reserve Bank of India, Hyderabad

As stated in the Notice Inviting e-Tender uploaded in the MSTC portal and RBI website, the pre-bid meeting for the captioned tender was held on February 24, 2026, at 11:00 hrs in the Main Office Dispensary, Annex Building, RBI, Hyderabad. The details of the participants are listed below:

2. At the outset, we welcomed the participants and briefly explained various aspects of the e-Tender and Bank’s requirements, which needs to be considered while placing the bids.

3. The queries put forth by the participants and clarifications provided by the Bank’s Officials are tabulated below for information:

1 What is the time limit for supply of medicines? The delivery of supplies in full shall be made within the time and at the place as specified in the Purchase Order (PO), issued to the Supplier on quarterly basis.
2 Whether substitutes can be suggested and delivered in case of non-availability of the drug mentioned in the PO? Specific brand as requested must be provided. In case of non-availability, alternative drug may be suggested, and the confirmation of delivery will be provided only after obtaining approval for the suggested drug from BMO/BMC of the Bank.
3 Is it mandatory to have multiple outlets with same firm name or sister concern outlets will be considered? To fulfil the requirement of medicines of our employees staying in different locations, we have opted for multiple outlets. If the chemists supply the medicines with their sister concern outlets, that should be mentioned in the tender documents with necessary attachments.
4 What is the time limit for payment of bills Payments of the bills subject to Statutory deductions will normally be arranged within 30 days from the date of presentation of the bill.

4. The participants were advised to comply with the guidelines and terms and conditions mentioned in the NIT and Tender/RFQ documents. The participants were also advised to quote their respective bids at the earliest to avoid any last-minute technical issues.
