Minutes of Pre-Bid Meeting - Procurement of Audio & Conferencing System for the Renovated Board Room at 3rd floor of Main Office Building, Thiruvananthapuram

The pre-bid meeting for the captioned tender was held on April 17, 2019 at 11.30 AM in the cabin of GM, Estate Department, Reserve Bank of India, Thiruvananthapuram. The meeting was chaired by Shri V.R. Praveen Kumar, General Manager. Officials from Estate Department and Representatives from three companies (list attached- Annexure -P) participated in the meeting.

Shri R Suresh Kumar, AM(Tech) welcomed the participants to the meeting and invited queries from the prospective bidders regarding the captioned tender.

Details of queries raised by representatives of various companies/agencies and clarification/comments of the Bank are summarized below:

1. Shri R Sureshkumar, AM (Tech- Electrical) pointed out that the tenderers must produce the OEM Authorisation Certificate for providing technical support and spares required during the contract as well as AMC period. This Certificate must be uploaded along with the tender.

2. Shri Biju Gopal of M/s Telerad and Shri. H. Azim of M/s Hightech Audio System commented that the make of equipment for the Conferencing System are not comparable with regard to country of origin/ price. It is clarified that the features and specifications are comparable and matching for the approved makes and Bank cannot discriminate a product based on its country of origin. The tenderers may quote the items as per their cost convenience among the approved makes.

3. Representatives of M/s Telerad made a suggestion to include a few makes in the approved makes list in addition to the makes specified in the tender (Taiden & BXB). However, at this point of time, their suggestion could not be acceded to since the suggested makes are not so common in the market and the performance evaluation of these makes could not be carried out, since Bank could not find any installation of these products in nearby institutions.
