Minutes of the Pre-Bid Meeting - Providing Catering Services and Maintenance of Staff Canteen at Reserve Bank of India, Hyderabad

The Pre-bid meeting of the captioned tender (RBI/Hyderabad Regional Office/HRMD/3/23-24/ET/510) was conducted on February 23, 2024 at 15:00 hrs at Reserve Bank of India, Hyderabad, Main Office Building through offline mode. The list of participants are given below

2. Participants were welcomed to the meeting and the scope of work and salient features along with important instructions of the tender document were briefed to them. All participants were requested to seek clarifications, if any. The following queries/doubts were clarified during the meeting:

1. Shri R. Rajashekhar representative of G.S.R Hospitality Services asked details regarding the salaries/wages to be paid to the employees deployed by the vendor. The wages to six employees (2 cooks and 4 supporting staff) deployed by the vendor at RBI staff canteen will be fixed (as per minimum wages) and reimbursed by the Bank by following all the statutory liabilities such as Minimum Wages, ESI, EPF contributions etc. A reference may be made to all Central Government laws / guidelines in this regard. In case of rise in minimum wages by Government, the same may be reimbursed on monthly basis, on submission of relevant documents.
2. Shri Chandan K Sahoo representative of Cherish Hospitality Services asked Whether the LPG cylinders will be provided by the Bank The vendor will be provided only space, electricity, water and use of existing canteen infrastructure free of charge by the Bank. However, the cost of LPG cylinders will be borne by the vendor.
3. Shri Chandan K Sahoo representative of Cherish Hospitality Services asked Whether the crockery / utensils will be provided by the Bank The vendor has to bring its own material, utensils, cookers, crockery, hot boxes, trolleys, equipment, jugs, plates etc. in sufficient quantity to run the canteen services smoothly.
4. Shri R. Rajashekhar representative of G.S.R Hospitality Services asked Whether the salary of supervisor is borne by the Bank The wages of the supervisor is to be borne by the vendor and there will not be any reimbursement for the same. However, the Bank as per Central Govt. prescribed minimum wages will reimburse the wages of two semi-skilled cooks and 4 unskilled supporting staff.
5. Shri Chandan K Sahoo representative of Cherish Hospitality Services asked Whether the Bank provides stay arrangement of the employees deployed by the vendor. No, The stay arrangements of employees deployed by the vendor has to be taken care by vendor itself.
6. Shri T.D. Raju representative of Sri Vijay Durga contractor Pvt Catering limited asked Whether the payment mode Sodexo is compulsory Yes, the vendor have to be an affiliate of M/S Sodexo SVC India Pvt Ltd to sell Tea/Lunch/Snacks/Beverages to the Staff members
