Corrigendum dated May 07, 2024 E-tender Number: RBI/Mumbai Regional Office/HRMD/3/23-24/ET/368[Housekeeping services- RBI SQ] The Pre-Bid meeting for the captioned work was conducted as per schedule on April 25, 2024 - 11:00 AM at HRMD Conference Room, First Floor, Reserve Bank of India, Mumbai Regional Office. The list of staff members of RBI and firms/prospective bidders who attended the pre-bid meeting is furnished in Annex I. The minutes of the meeting is furnished below: Shri Don John David, Manager welcomed all the participants for the pre-bid meeting and apprised them in detail about the scope of work and the expectations from the prospective bidders. Thereafter, the participants were requested, if they had any queries in connection with the captioned tender. The details of the queries raised by the vendors and the Bank’s clarification/ comments are given below: Sr. No | Query | Clarification/ Comment | 1. | Whether Bank has considered reliever duty during the minimum wages calculation for the tender | It was clarified that, reliever duty has been considered for minimum wages calculation for the captioned tender. The bidders must factor in leave and reliever charges while submitting the financial bid. | 2. | Skill level of the kitchen helper to be engaged at the premises | It was clarified that semi-skilled kitchen helper shall be engaged at the premises as per the tender conditions. The detailed manpower requirement and the skill level required along with their duties has been furnished in the scope of work of the tender. | 3. | Who will bear the cost of Raw Material for food items | It was clarified that, the contractor shall be responsible for procurement of raw materials and ingredients. Further, the supervisor shall charge the rates from guests as per the fixed rates approved by the Bank. | 4. | Whether exemption in submission of Earnest Money Deposit (EMD) is applicable for the MSME bidders. | The exemption is not applicable as the estimated cost of the tender exceeds ₹10 lakh. As per extant instructions, the relaxation is applicable only to Micro and Small Enterprises (MSEs) having Udyam Registration Number (Udyog Aadhar Memorandum Number) in all the procurements (goods, services or work contracts) having an estimated cost up to ₹10 lakh (including all taxes, duties, etc.) | 5. | Whether the bank will provide cleaning materials and equipment | It was clarified that all the cleaning materials and equipment shall be provided by the contractor. | 6. | Whether linen and crockery items to procured at the colony shall be reimbursed by the Bank | It was clarified that as per the tender terms and conditions, The linen shall be procured and provided at the premises on need basis after obtaining the approval of the Bank for the make, model and quality of the items. The contractor shall make a proper assessment of the linen items to be procured at the premises. On approval of the make, material and quality of the linen by the Bank, the contractor shall procure the same and submit the certified invoice within 7 days for payment by the Bank. The same shall apply to crockery items also. | 7. | Clarification required regarding turnover criteria of the tender. | It was clarified that The bidder must have an average annual turnover of at least Rs. Sixty Crores for the last three consecutive financial years as on 31.03.2023 (FY 2020-21, 2021-22 & 2022-23) | The meeting concluded with vote of thanks. Note: Above clarifications are issued for the information for all intending bidders. Minutes of the pre-bid meeting shall form part of the tender. Hence, it shall be signed and submitted / uploaded along with the tender by the bidders. Submission of bids shall be construed to be in conformity to the bid document and amendments/clarifications.
