Minutes of Pre Bid Meeting and Extension of time

Reserve Bank of India, Ahmedabad invites sealed tenders in two parts from reputed dealers for the captioned work having Dealer Possession License (DPL) as per the extant guidelines of Ministry of Communications & Information Technology & having past track record of supplying / maintaining above items in last three years. The work is estimated to cost Rs.15.00 lakh and is to be completed within 4 weeks.

2. The duly filled in tender documents shall be dropped in the ‘QUOTATION BOX’ kept in Estate Department, Ahmedabad or shall reach to the Estate Department. Tenders received after the due date and time will not be accepted under any circumstance.

3. Tender forms can be downloaded from the website www.rbi.org.in as per the timeline indicated above. In case of downloaded documents, a non-refundable sum of Rs.500/- in the form of Demand Draft/Pay Order favouring Reserve Bank of India payable at Ahmedabad along with the eligibility documents, mentioned in the tender, will have to be submitted to Estate Department, Reserve Bank of India, Ahmedabad in a separate sealed cover addressed to the Regional Director, Reserve Bank of India, Ahmedabad up to date as indicated in para 2 above for Banks' examination. After scrutiny, if any of the contractors are not found to possess the required eligibility, their tenders will not be accepted by the Bank for further processing.

Part-I of the tender will contain the Bank's standard technical and commercial conditions for the proposed work, tenderers' covering letter, tenderer’s additional conditions, if any and the EMD of Rs.30,000/- in the form of Demand Draft / Pay Order in favour of Reserve Bank of India payable at Ahmedabad and be sealed in one cover, super-scribing "Part – I Tender for Supply and Maintenance of UHF Walkie Talkie system for Bank’s Office Buildings at Ahmedabad”. Part II tender will contain no conditions but only Bank's schedule of quantities and tenderer' price bid only and be sealed in a separate cover, super-scribing "Part – II Tender for Supply and Maintenance of UHF Walkie Talkie system for Bank’s Office Buildings at Ahmedabad”. Both these sealed covers will further be sealed in another envelope addressed to The Regional Director, Reserve Bank of India, Ahmedabad will be received by the Bank at Estate Department, Reserve Bank of India, Ahmedabad up to date as indicated in para 2 above in the manner described in the tender form. Tenders received after the due date and time will not be accepted under any circumstances.

5. For the downloaded tender forms from the RBI website, if any change/modification thereto is found subsequently, such tenders are liable for disqualification. However, if they desire to submit additional information, they may do so on their own letter head/paper. Each page of the forms shall be signed and returned.

6. Part I of the tenders will be opened at the date as indicated in para 2 above in the presence of the tenderers or authorized representative of the tenderers who choose to be present. Part II of the eligible tenderer will be opened on a subsequent date, after the scrutiny of Technical Bids received by the Bank, which will be intimated to the tenderers in advance.

7. The Bank shall evaluate the eligibility documents before evaluation of price bid of the tenders. If any tenderer is not found to possess the required eligibility for participating in the tendering process at any point of time, the Bank reserves the right to reject his offer even after opening of Part-I of the tender. The Bank is not bound to assign any reason for doing so.

8. The Bank is not bound to accept the lowest tender and reserves the right to accept either in full or in part any tender. The Bank also reserves the right to reject all the tenders without assigning any reason there for.
