The Pre-Bid meeting for the captioned tender was held on August 21, 2026, at 15:00 hrs. in Conference Room No. 2, 2nd Floor, MOB, RBI Belapur. Three participants from two firms participated in the Pre-bid meeting. A list of participants is given in Annex-I. 2. AGM, Estate in his inaugural address welcomed the representatives of the firms and briefed the forum about the captioned work. Thereafter, all the doubts / queries of the firms were discussed in detail. 3. The queries raised by the intending bidder and clarifications given by the Bank are tabulated below: | Sr No. | Queries raised by firms | Clarification provided by the Bank | | 1. | Period of Completion – The firms requested that the stipulated completion period of 60 days may be reckoned from the actual date of handing over of site rather than from the 14th day of issue of work order. Further, the firms have also requested to collect the documents viz. PBG, Insurances etc from the actual date of handing over of site. | It was clarified that the successful bidder should place purchase order for materials on the very first day of the Work Order in order to ensure timely completion of the work within 60 days from 14th day of issue of work order. However, any delay arising due to reasons not attributable to the firm shall be considered by the Bank appropriately. | | 2. | Ad-hoc payment – The firms sought clarifications regarding the proposed 75% ad-hoc payment against Running Account (RA) bills. The firms highlighted that GST liability is applicable on the taxable value as per invoice. | The firms were advised to refer Clause 7 of Schedule F of the Tender Document. | | 3. | Certification of work - The firms requested that the works executed may be measured and certified on a weekly basis to facilitate timely payment. | It was clarified that the works executed shall be measured and certified on a weekly basis, subject to terms and conditions of Tender Document. | | 4. | DSR, Site Visit and Number of shades required - The firms sought clarifications regarding the applicable DSR, requirement for site visit and the number of shades to be executed. | It was clarified that the applicable Basic Rates are as mentioned in the Tender Document. The intending firms may contact the Bank for site visit to assess the site conditions and actual requirements. Further, the required number of shades shall be as per sample flats or as finalized by the Bank based on Basic Rates. However, the colour /shades of vinyl film may be decided during the selection of vinyl film based on Basic Rate. | | 5. | Labour Cess - The firms sought clarifications regarding the consideration of Labour Cess on price bid. | It was clarified that the bidders should consider the cost of Labour Cess, while quoting their rates for this work. | | 6. | Laboratory Testing/ Material Testing Plan (MTP) - The firms sought clarifications regarding submission of test reports for all the materials purchased. | It was clarified that the necessary MTC needs to be submitted by the contractor for all the materials purchased as per the terms and conditions of Tender Document. | | 7. | Damage during Defect Liability Period (DLP) - The firms sought clarifications regarding the type of damage that would be considered during DLP. | It was clarified that the damage caused due to act of contractors shall be considered as defects attributable to the contractors. | 4. Further, the specific code/ model number of Vinyl Film shall be as per sample flat or as finalized by the Bank based on Basic Rate. | 5. These minutes of pre-bid meeting / corrigendum shall form the part of Bid document/ Agreement/ contract. 6. The terms, conditions and specifications of the tender/ Bid document shall continue to remain the same unless otherwise stated / clarified in this corrigendum. 7. The above clarifications are issued for the information and necessary action of all the intending bidders. 8. The submission of bid by the firm shall be construed to be in conformity to the tender/ Bid document and Amendments/ Clarifications given above, if any.
