The Pre-Bid meeting for the captioned tender was held on May 18, 2026, at 11:00 hrs. in Conference Room No. 2, 2nd Floor, MOB, RBI Belapur. Six participants from three firms participated in the Pre-bid meeting. A list of participants is given in Annex-I. 2. DGM, Estate in his inaugural address welcomed the representatives of the firms and briefed the forum about the captioned work. 3. It was clarified to the firms that the tender is an open tender and thus the following line published on Bank's website inadvertently in the Notice Inviting Tender (NIT) may be ignored by the intending bidders. "This notice is being published for information only and is not an open invitation to quote in this limited tender. Participation in this tender is by invitation only and is limited to the selected Procuring Entity's enlisted contractors. Unsolicited offers are liable to be ignored. However, contractors who desire to participate in such tenders in future may apply for enlistment with RBI as per procedure." 4. Thereafter, all the doubts / queries of the firms were discussed in detail. Will extra compensation be provided for providing services beyond Office hours? | It was clarified that the payment will be made as per the terms and conditions of the tender. | | 3. | Section IV b) Penalty Clause / Liquidated Damages What will be the quantum of penalty per instance of high/medium/low risk lapses (operational/statutory compliance)? | Bank has reviewed the penalty clause regarding the operational and statutory compliance lapses, and it may be read as below: | Risk Degree of Lapse | Penalty per instance of lapse | | High risk | 0.25% of monthly bill | | Medium risk | 0.15% of monthly bill | | Low risk | 0.05% of monthly bill | Further, it was clarified that the overall penalty amount that can be imposed in a month for operational and statutory lapses as well any other lapses mentioned under Section IV (b) of the tender document will subject to a maximum of 10% of the monthly bill value. | | 4. | The total wages per person indicated in the tender comprises of minimum wages, ESI, EPF, Bonus, Labour Welfare Fund. However, amount of gratuity has not been accounted for? | It was clarified that the intending bidders shall comply with relevant statutory laws/rules/regulations regarding the gratuity. | | 5. | Audited financial statements/ITR for FY 2025-26 are not yet available. What is to be done regarding the same? | It was clarified that in case of non-availability of audited financial statements for FY 2025-26, the intended bidders may submit the financial statements, duly certified by a Chartered Accountant for the time being for the FY 2025-26. Further, the bidders shall submit an undertaking that the audited financial statements and ITR for the FY 2025-26 will be submitted by the bidder to the Bank as and when the same are finalized. | | 6. | Whether Bank will provide storage for consumables/materials etc.? | It was clarified that the storage space will be provided by the Bank. However, the furniture, almirahs, cupboards etc. for storage will required to be arranged by the bidder at his own cost. | | 7. | Page 52 of the tender document - Clause 17 Whether Bank will pay extra mason charges etc. for any repair / treatment to walls/floor of bathrooms / toilets / kitchen for arresting the leakage due to erosion/deterioration joints of sanitary/water supply installations? | It was clarified that the payments in this regard will be paid, strictly as per the Clause 17 of Page No. 52 of the tender document. | | 8. | Clarification regarding Clause (E) 2. (f) on Page No. 54 of the tender document which reads as follows: "General periodical preventive maintenance and visual check (once in every quarter) of all major Switch Gear equipment like MCCBs, SFUs, MCBs, RCCBs, Cable termination box, etc. and Condition Assessment of Meter box, Feeder panel etc. (once in every quarter) located at office and entrance of each residential building. The material required to keep the system healthy shall be supplied by the Bank." | It was clarified that the maintenance of major equipment viz. transformers, ACBs, relays and switchgears will be carried out through OEMs. The scope of the successful bidder is limited to routine preventive maintenance and checks only. | | 9. | Will the scaffolding charges be reimbursed / paid separately by the Bank? | It is clarified that the scaffoldings will be required to be arranged by the bidder at his own cost as stated under para D of Annexure XI: An indicative list of Tools & Plants, Consumables etc., to be used. | 5. A discussion was also held with the participants regarding the daily Operation and Maintenance of Sewage Treatment Plant (STP) and Water Treatment Plant (WTP). It was informed that as part of the daily operations and maintenance of STP and WTP, the cost of all consumables will be borne by the successful bidder. The bidder/s may take note of para (E) regarding Sewage Treatment Plant (STP) and Water Treatment Plant (WTP) Operator(s) mentioned on Page Nos. 60 to 62 of the tender document for the details of the work to be attended by the successful bidder for maintenance of STP and WTP. Further, the detailed process flow diagram and Operations & Maintenance guidelines of STP and WTP will be shared with the successful bidder. 6. These minutes of pre-bid meeting / corrigendum shall form the part of Bid document/ Agreement/ contract. 7. The terms, conditions and specifications of the tender/ Bid document shall continue to remain the same unless otherwise stated / clarified in this corrigendum. 8. The above clarifications are issued for the information and necessary action of all the intending bidders. 9.
